Maintain complete employee records
Keep current contracts, identification details, bank instructions, statutory registration information, benefits, and approved changes in one controlled system. Restrict access and record who approved every change.
Use a monthly control calendar
A simple calendar should identify cut-off dates for new hires, exits, overtime, leave, bonuses, deductions, approvals, payment, and reporting. Make responsibilities clear so missing inputs are escalated before payroll closes.
Reconcile before payment
